Acceptable Use Policy
The rules that keep mail from Rondinemail trusted: no spam, phishing or malware, fair sending limits, and how we handle abuse reports and appeals.
Why this policy exists
This Acceptable Use Policy (the “Policy”) sets out the rules that apply to everyone who uses the Rondinemail email service, including @rondinemail.com addresses, aliases, custom domains, shared addresses, the Rondinemail web app and our website at rondinemail.com (together, the “Service”), provided by Rondinemail S.r.l., with its registered office at Via dell’Indipendenza 44, 40121 Bologna (BO), Italy, VAT number (P.IVA) IT04567890371 (“Rondinemail”, “we”, “us” or “our”). This Policy was last updated on, and takes effect from, 1 September 2026.
The purpose of this Policy is to keep mail sent from Rondinemail trusted and deliverable, and to protect both the people who use the Service and the people they correspond with. When a single account sends spam or scams, other mail providers may begin to distrust mail from all of our users; these rules exist to prevent that.
This Policy forms part of our Terms of Service, and a breach of this Policy is a breach of those Terms. It applies to every account on every plan, whether Nido, Casa or Stormo. Account holders are responsible for all activity that takes place through their accounts, including mail sent from their aliases, from their custom domains and from any shared addresses they use. If you manage a Stormo plan as its family administrator, please make sure that the people you add are aware of this Policy.
The examples in this Policy are illustrative, not exhaustive. We may act against any use of the Service that is unlawful or that, in our reasonable judgement, seriously harms other people, the Service or the reputation of our mail servers, even where that use is not specifically described here. We apply this Policy fairly, diligently and proportionately, with due regard to the rights and legitimate interests of everyone involved, including freedom of expression.
No spam
You must not use the Service to send spam, meaning unsolicited bulk email or unsolicited commercial email. In particular, you must not send advertising, direct marketing or other commercial communications by email to anyone who has not given prior consent to receive them, in breach of Article 130 of Legislative Decree no. 196/2003, as amended (the “Italian Privacy Code”), Article 13 of Directive 2002/58/EC (the “ePrivacy Directive”) or equivalent laws in the recipient’s country, except in the limited cases in which the law expressly permits it, such as the exception in Article 130(4) of the Italian Privacy Code for promoting similar products or services to existing customers who have been told of their right to object and have not exercised it.
You must not use purchased, rented, shared, harvested or scraped address lists, or addresses obtained by guessing or generating combinations of names and domains. You must not send mail with false, misleading or forged headers, sender names or subject lines; conceal or disguise your identity as the sender; use the Service to receive replies to spam sent through any other service; or advertise a Rondinemail address in spam sent from elsewhere.
You must not use Return to sender, our pre-send address check, to test, clean or validate lists of addresses, or otherwise to find out which addresses exist at Rondinemail or at any other mail service.
Where you write to people who have agreed to receive your messages, each message must clearly identify you as the sender, and every message sent for promotional purposes must include a valid means of objecting to further messages, which you must honour promptly. Repeated complaints from recipients, high rates of undeliverable mail, or the listing of your sending activity on reputable block lists may be treated as evidence of a breach of this section.
Sending limits
To protect the Service and the deliverability of our users’ mail, each account may send to a limited number of recipients in any rolling 24-hour period: up to 300 recipients on the Nido plan; up to 1,000 recipients on the Casa plan; and, on the Stormo plan, up to 1,000 recipients per person.
A single message may be addressed to no more than 100 recipients. Each address in the To, Cc and Bcc fields counts as one recipient, and a message sent to the same address more than once counts once for each time it is sent. Mail sent from aliases, custom domains and shared addresses counts towards the limit of the account that sends it, and scheduled messages count at the moment they are sent.
Once you reach a limit, you will not be able to send to further recipients until enough of your earlier sending falls outside the rolling 24-hour period. You must not circumvent the limits, for example by spreading your sending across several accounts, by opening additional accounts, or by splitting a mailing into batches designed to evade them.
Rondinemail is designed for personal and small-team correspondence. If you want to send newsletters, announcements or other mail to a mailing list, you must use a dedicated bulk-sending service that manages opt-in, unsubscribe requests and undeliverable mail, even where your list would fit within the limits of your plan. We may temporarily lower the limits of an account that shows signs of compromise or abuse, as described under “Enforcement”.
Fraud, phishing and impersonation
You must not use the Service for phishing, meaning any attempt to obtain passwords, security codes, payment details or other sensitive information by deception, or for any fraud, scam or deceptive practice, including fake invoices, advance-fee and investment scams, false prize notifications, romance scams and fraudulent requests to change payment details.
You must not impersonate any person or organisation, including Rondinemail and its staff, or falsely claim an affiliation with any person or organisation, in a way that is intended or likely to mislead. You must not forge message headers or sender information, or choose display names designed to be confused with those of another person, business or public body.
Parody, satire and commentary that are clearly identifiable as such are not impersonation, but they must not be presented in a way that could reasonably mislead recipients about who is writing to them.
Addresses, aliases and domains
You must not register or use addresses, aliases or display names that impersonate, or are likely to be confused with, a brand, business, public body, public office or other organisation that you do not represent, such as addresses suggesting that you are a bank, a courier, a tax or social security authority, the police or Rondinemail itself.
You must not engage in address squatting, meaning registering addresses or aliases in bulk, or registering names associated with other people, brands or organisations, in order to hold them for sale, to prevent others from using them or to profit from confusion. Rondinemail addresses and aliases may not be sold, transferred or rented.
You may connect to the Service only a custom domain that you own or that its owner has authorised you to use. You must not use a custom domain that imitates the domain or name of another organisation, and you remain responsible for all mail sent from addresses on a custom domain connected to your account.
We may refuse or disable any address, alias or custom domain that breaches this section.
Forwarding and auto-replies
You must not use forwarding, Away mode auto-replies, filters or any other automatic feature to generate backscatter, meaning automatic replies, bounce notices or forwarded messages sent to people who did not write to the account holder, such as the forged sender addresses used in spam.
You must not create forwarding chains or loops, whether between your own addresses or with addresses at other services, or set up automatic rules that send mail repeatedly, multiply messages or forward mail to people who have not agreed to receive it.
Auto-replies must be genuine replies about your availability or how to reach you. They must not be used to send advertising or other commercial content to the people who write to you.
Malware and attacks on the Service
You must not use the Service to create, send, store or distribute viruses, worms, ransomware, spyware, trojans or any other malicious code, or links to such code, or to operate or control networks of compromised devices.
You must not attack, probe, scan or test the vulnerability of the Service or of any related system or network; breach or circumvent any security, authentication or rate-limiting measure; access or attempt to access accounts or data that are not yours; or interfere with or disrupt the Service, its infrastructure or its other users, including by denial-of-service attacks or by sending mail designed to overload our systems.
You must not scrape or harvest data from the Service by automated means, or use the Service in a way that places an unreasonable load on our infrastructure or degrades the Service for others.
If you believe you have found a security vulnerability, please report it in good faith to abuse@rondinemail.com, with enough detail for us to reproduce it. Do not exploit it, access other people’s data or disclose it publicly before we have had a reasonable opportunity to fix it.
Harmful and illegal content
You must never use the Service to send, store or distribute child sexual abuse material. We have zero tolerance for such material. Where we become aware of it, we will close the account concerned immediately, preserve the relevant data as the law requires, and report the material and the account without delay to the competent authorities, including the Polizia Postale, the Italian police service responsible for online crime.
You must not use the Service to harass, bully, stalk, threaten or intimidate any person; to incite or glorify violence or terrorism; or to promote hatred, discrimination or violence against any person or group on the grounds of racial or ethnic origin, nationality, religion or belief, disability, sex, sexual orientation, gender identity or any similar characteristic.
You must not use the Service for doxxing, meaning disclosing another person’s private information, such as their home address, telephone number or workplace, in order to harass, intimidate or endanger them, or to share sexually explicit images or videos of a person without their consent.
You must not use the Service to send, store or distribute content, or to carry out or promote any activity, that is illegal under Italian or European Union law or under any other law that applies to you or to your recipients, including the sale of illegal goods or services, money laundering and the distribution of material that incites terrorism.
You must not use the Service to infringe the intellectual property rights of others, including copyright, trade marks and trade secrets, for example by distributing pirated software, films, music, books or other works. We act on valid notices of infringement in accordance with applicable law.
Fair use of your account
You must not open several Nido accounts, or accounts of any other kind, in order to get around sending limits, storage limits, suspensions or other restrictions, and you must not create accounts in bulk or by automated means, including by using scripts or bots.
You must not sell, resell, rent, lend or otherwise provide accounts, addresses or access to the Service to third parties, or offer the Service as part of a product or service of your own, without our prior written permission. Inviting the members of your family or small team to a Stormo plan that you manage is, of course, permitted.
You may import mail through Come home only from accounts that you own or are authorised to access. You must keep your sign-in details, passkeys and devices reasonably secure, so that no one else can use your account to breach this Policy.
Reporting abuse
To report spam, phishing, malware, harassment or any other abuse sent from or involving a Rondinemail address, or a domain that uses the Service, forward the complete message, including its full headers, to abuse@rondinemail.com. The headers allow us to trace where a message came from. The most reliable way to include them is to forward the message as an attachment; most mail apps also offer an option such as “Show original” or “View source” that displays them.
If you come across child sexual abuse material, do not forward it, either to us or to anyone else. Instead, write to abuse@rondinemail.com describing where you found it, and report it to the Polizia Postale. If anyone is in immediate danger, call the emergency number 112.
Notices that content infringes your intellectual property rights, and reports of other illegal content, may also be sent to abuse@rondinemail.com. Please include your name and email address, identify the messages or addresses concerned, and explain why you consider the content to be illegal.
We review every report. We may not always be able to tell you what action we have taken, because doing so could disclose personal data about another user, but every report helps us keep the Service safe. Please do not send reports that you know to be unfounded; knowingly making unfounded reports is itself a misuse of the Service.
Enforcement
Where we reasonably believe that this Policy has been breached, we respond in proportion to the seriousness of the breach, its impact on others and any previous breaches. Our measures, in rising order of severity, are: a warning; temporary sending limits; suspension of the account; and closure of the account. We may also prevent specific messages from being sent, or disable specific aliases or custom domains.
Where a breach causes or threatens serious harm, including child sexual abuse material, the distribution of malware, phishing, large-scale spam or a threat to anyone’s safety, we may act immediately and without prior warning, including by suspending or closing the account.
Where an account appears to have been compromised, we may restrict it to protect its holder and others, and we will help the holder to regain control of it. A restriction applied for that reason is not a finding that the holder has breached this Policy.
Whenever we restrict an account or its mail, we will send you a statement of reasons setting out the measure we have taken, the facts and circumstances we relied on, the rule concerned, whether automated filtering was used to detect the issue, and how you can appeal, in line with our obligations under applicable law, including, where applicable, Regulation (EU) 2022/2065 (the Digital Services Act). We will not provide a statement of reasons where the law forbids it, or where it would help someone to attack the Service or its users, for example by revealing how our systems detect spam or malware.
Where a Stormo plan is involved, we will, where possible, apply measures only to the individual account concerned rather than to the whole plan. The address of a closed account is never reassigned to anyone else, so that no one can receive mail intended for its previous holder or pose as them. Closing an account under this Policy does not affect the rights that its holder has under data protection law.
Apart from reports that the law requires or permits us to make on our own initiative, such as reports of child sexual abuse material, we disclose user data to law enforcement agencies or other public authorities only in response to a valid legal order under Italian or European Union law, and only to the extent that the order requires, as described in our Privacy Policy.
Appeals, changes and contact
If you believe that we have acted in error, you may appeal by replying to the notice we sent you or by writing to abuse@rondinemail.com, explaining why you think the decision was wrong and including any information that supports your appeal. Appeals are free of charge.
Your appeal will be reviewed by a member of our team who was not involved in the original decision. We will give you a reasoned answer within 14 days of receiving your appeal and, if it succeeds, we will reverse the measure without delay.
Appealing to us does not affect your right to use any other remedy available to you under the law, including bringing proceedings before the competent courts.
We may update this Policy to reflect changes to the Service, to the ways in which it is misused or to the law. The date at the top of this page shows when it was last revised. We will notify account holders of material changes by email before they take effect, unless a change is urgently needed to tackle abuse, to protect security or to comply with the law.
